Software Asset and Licencing Manager
We're recruiting for a Software Asset and Licensing Manager to join our Infrastructure and Service Operations team at Willmott Dixon. Although the IT team are based at our head office in Letchworth Garden City, this role can be done as either a hybrid, or a remote role. Occasional travel to Letchworth and other sites may be required according to business needs.
The Asset and Licensing Manager is responsible for the monitoring and control of software asset management and licencing activities to provide full visibility of these assets for our organisation. You will effectively manage and control them ensuring governance, risk management, reporting and assurance activities.
You will be the primary point of contact for all SAM matters within IT and provider of consultancy to stakeholders. You will practice robust risk management and with IT governance functions to ensure SAM risk are identified, analysed, mitigated, and escalated appropriately.
You will be responsible for ensuring that Willmott Dixon realises value from our partners, including our Licence Solution Providers and other software resellers. You will be responsible for maintaining and implementing internal compliance activities and reviews, responding to, and managing vendor audits.
You will work collaboratively with variety of IT teams and cross functional stakeholders (e.g. Finance and our construction businesses) to establish, enforce, monitor software asset management processes, standard and controls. You will ensure that IT assets are used most effectively and efficiently by optimising costs.
The role
Some of the duties / responsibilities of this role will include:
- Responsible for defining an IT software asset strategy.
- Maintain a comprehensive inventory of all software assets, ensuring accurate tracking from acquisition through to disposal.
- Maximise the ROI of all software assets by managing the end-to-end software lifecycle, ensuring that the right products are purchased, deployed, re-harvested and retired timely.
- Manage the renewal process for software subscriptions and agreements ensuring that there is a detailed list of all software licences and subscription renewals, including expiration dates and renewal periods.
- Analyse asset data and trends to ensure we are using all licences effectively and identify opportunities for improvement, cost reduction and risk mitigation.
- Identify and implement appropriate control activities to ensure that IT is compliant with the T&Cs of its software assets.
- Responsible for ensuring SAM related contractual obligations are met, including annual true ups.
- Responsible for ensuring that we have the right tools to efficiently govern the process providing complete transparency.
- Provide IT software asset management support and guidance to IT and business users.
- Create and maintain IT asset management policies, procedures, and best practice.
- Plan and carry out stakeholder management activities and be an effective advocate for SAM at all levels of the organization.
- Act as internal consultant to all stakeholders to provide support and advice regarding software purchases and the interpretation of license terms & conditions.
- Liaise with the IT Governance teams, define and implement management and reporting to support the development of service charge models, depreciation schedules and maintenance of the SAM register.
- Manage invoice queries in a timely manner.
- Proactively identify, define, and implement continuous improvements for SAM at all levels of Willmott Dixon
Experience
Ideally you will have some of the following experience:
- Strong knowledge of software lifecycle management
- Experience working with asset management tools and platforms.
- Excellent organisational and analytical skills with strong attention to detail
- Ability to manage multiple tasks and meet deadlines.
- Previous experience of using ServiceNow
- Knowledge of ITL framework and IT asset management best practice
- Proficient with asset management software
- Effective communication and people skills.
- Ability to work independently and as part of a team.
- Experienced in creating excellent quality documentation.

- Knowledge of ITIL framework and IT asset management best practices
- Proficient with asset management software such as ServiceNow
- Effective communication and interpersonal skills
- Ability to work independently and as part of a team.
Desirable
- Ability to lead and motivate cross-functional teams and to influence stakeholders with data driven insights.
- Background in conducting IT asset audits and reconciliations.
- Prince 2 Foundation
- SAM Practitioner certification
- Management of Risk Foundation
